AI lead qualification and appointment setting for real estate teams
An AI agent for real estate that replies to new leads in seconds and books showings
New leads from portals, ads and your website get a reply on the channel they used, or by text or WhatsApp if they opted in. If they asked for a call, they get one. The AI agent asks every lead the same questions (budget, area, timeline, mortgage status), books the showing and logs it all in your CRM. Offers and negotiation stay with your agents.
- Same qualifying questions for every lead, in scripts you approve
- Books showings and logs every chat in your CRM (for example, HubSpot or GoHighLevel) via API
- Sales agent from $3,500, live in 2–3 weeks. Voice or one channel from $2,000

Why it matters
Where real estate leads go cold today
A buyer may ask several agents about several listings on the same evening. We reviewed 183 AI-agent job posts on Upwork, Freelancer.com, PeoplePerHour and Hacker News (mostly June–September 2026), and 7 came from real estate. The ones that described the work asked for some mix of qualification, showings, follow-up and hand-off to a broker. They ranged from a Dubai team handling portal leads to a UK agency and an Indian broker on WhatsApp.
Late-night inquiries wait until morning
A buyer asks about three listings at 9 pm. By the time your agent calls back, another agent may already have booked the showing.
The same first questions, lead after lead
Buying or renting? What budget? Pre-approved? First calls can eat hours of your agents’ time, and some of those leads are just browsing or a year away from moving.
Follow-up stops after one try
If a lead doesn’t reply to the first message, a busy team may never send the third or fourth follow-up, and a warm lead fades.
Answers that never reach the CRM
When budget, area and timeline stay in WhatsApp chats and agents’ phones, nobody knows what a lead wanted when they come back months later.
See it work
Thursday, 9:36 pm. A UK buyer asks for a viewing — and whether the seller will take less
A buyer in the UK found the listing on a property portal and tapped the WhatsApp button after office hours. The AI agent checks the listing, books the viewing (a showing, in US terms) into Priya’s calendar, asks your qualifying questions and hands the price question to her.
Same questions, every lead
Buying or renting, budget, area, timeline and financing — asked the same way for everyone, then saved to your CRM fields.
Books only open times
Checks the listing status and the listing agent’s calendar before it offers a time, then sends a confirmation and a reminder.
Price questions go to people
Offers, negotiation and anything legal or financial go to your agent with a short summary. The AI never makes promises on the seller’s behalf.
Hi, is the 3-bed on Oak Lane still available? Could we see it on Saturday?
listings.status("12 Oak Lane") → available · viewings Sat 10:30 · 12:00Hi! I’m the virtual assistant for Brookmere Homes. Yes, it’s still available. Would Saturday at 10:30 or 12:00 work? And so Priya, the listing agent, can prepare: are you buying with a mortgage, and do you need to sell a home first?
10:30. Mortgage agreed in principle, nothing to sell. Would the seller take £400k?
calendar.book("12 Oak Lane", "Sat 10:30", agent="Priya") → #V-2291You’re booked for Saturday at 10:30 with Priya. She handles all offers with the seller, so I’ve passed your question to her. She’ll call you tomorrow morning.
crm.update("#L-3307", finance="mortgage in principle", home_to_sell="no", stage="viewing booked") → ok- Priya gets a WhatsApp summary · callback task for 9:00 · buyer reminder set for Friday
Demo scenario. The agency, agent, buyer and listing are fictional.
What the AI agent does
From first inquiry to a booked showing — and every follow-up in between
The AI agent handles the first conversation and the busywork around it. It follows scripts and rules you approve, and your team steps in when a person should.
- 01
Speed-to-lead replies
Replies to new portal, ad and website leads as soon as they reach your inbox, CRM or WhatsApp — nights and weekends too. Leads who asked for a call on your form can get one within minutes.
- 02
Lead qualification
Asks your questions: buying or renting, budget, area, bedrooms, timeline, pre-approval or cash, a home to sell. Then it tags the lead hot, warm or not ready yet.
- 03
AI appointment setter for showings
Offers open times from the right agent’s calendar, books the showing (a viewing in the UK or UAE), sends a confirmation and a reminder, and handles reschedules.
- 04
AI voice agent for listing and sign calls
Answers calls to your listing and yard-sign numbers after hours or when your team is busy. It says it’s a virtual assistant, asks the same qualifying questions, books the showing, texts a confirmation if the caller agrees and hands offer questions to the listing agent.
- 05
Follow-ups and old-lead reactivation
Sends a short series of follow-ups on the lead’s channel and checks in with past CRM leads to ask if their plans have changed. It contacts only people who opted in, stops as soon as they reply or opt out, and passes anyone who’s ready to buy or sell to one of your agents.
- 06
WhatsApp for international buyers
For the UK, the UAE and other WhatsApp-first markets, the AI agent runs on the WhatsApp Business Platform under your company name. In chat, it can reply in the lead’s language, such as English or Arabic. We test each language before launch.
- 07
Listing questions from your data
Answers questions about asking price, size, fees, parking or pet policy using only your listing data and FAQ. If the answer isn’t there, it checks with your team. Requests about assistance animals or other accommodations always go to a person.
- 08
CRM logging and routing
Creates or updates the contact, fills in your fields, attaches the transcript and assigns the lead by area or listing — for example in HubSpot or GoHighLevel, via API or webhooks.
- 09
Fair-housing-aware scripts
Every lead gets the same questions. The AI agent doesn’t describe areas by who lives there and doesn’t steer anyone toward or away from a neighborhood. For questions about schools or safety, it points to public sources your broker approves.

Compare
Who answers your new leads: agents, an ISA, an AI app or a custom AI agent?
Each option can work. Here’s how they compare when a portal lead writes at 9 pm and wants a showing this weekend.
| — | Your agents, when free | Inside sales agent (ISA) | Off-the-shelf AI app | Custom AI agent |
|---|---|---|---|---|
| First reply to a new lead | When someone is free | During the ISA’s working hours | Right away, within the app’s flows | Within seconds of the lead reaching your inbox or CRM, 24/7 |
| Qualifying questions | Vary by agent | Follow the ISA’s script | Templates you can edit | Your questions, asked the same way every time |
| Booking showings | Back-and-forth texts | Yes, in the calendars they can access | In the calendars the app supports | Into each agent’s calendar, based on your routing rules |
| WhatsApp and other languages | If the agent uses them | Depends on the ISA | Depends on the app | WhatsApp in your name; each language tested before launch |
| CRM notes | Depends on each agent | Entered by the ISA | In the app, or in the CRMs it supports | In your CRM via API or webhooks, with the transcript |
| Offers and negotiation | Your agent | Handed to your agent | Depends on the setup | Handed to your agent with a summary |
| Cost | Your agents’ time | Salary or an outsourced ISA fee | Monthly subscription | From $3,500 build (voice or one channel from $2,000), usage at cost, optional care |
How we work

FAQ
Questions real estate teams ask about AI agents
How much does an AI agent for real estate cost?
A sales agent that qualifies leads, books showings and logs everything in your CRM starts at $3,500 on the Growth plan, with care from $450/mo. A single-channel agent — for example, WhatsApp or a phone line with booking into one calendar — starts at $2,000, with care from $250/mo. The build price is fixed in the contract. WhatsApp, SMS, phone and AI model usage is billed at cost on your own accounts, and we estimate it before we start.
Can an AI chatbot for real estate agents qualify buyers and renters?
Yes. It asks your questions — buying or renting, budget, areas, bedrooms, timeline, pre-approval or cash, a home to sell — and saves the answers to your CRM. You decide what makes a lead hot and who on your team gets it. It records what the lead says about financing, but it doesn’t check credit or give mortgage advice. Offers, price negotiations and contract terms go to your agent.
Can it reply to Zillow, Realtor.com or Rightmove leads?
Usually, yes. Portal leads tend to reach you as an email or a new record in your CRM. The AI agent picks them up from there via API, webhooks or email parsing, then replies by email, or by text or WhatsApp if the lead opted in. So the reply time also depends on how fast the portal delivers the lead. We set it up for the portals you use, for example Zillow, Realtor.com, Rightmove, Property Finder or Bayut. We’re not affiliated with any portal.
Does it work with HubSpot, GoHighLevel or our real estate CRM?
Yes, if your CRM has an API or webhooks — for example HubSpot or GoHighLevel. The AI agent creates or updates the contact, fills in your fields, attaches the transcript and assigns the lead to the right agent on your team. For other real estate CRMs, we check API access during the brief. We’re not affiliated with any CRM vendor.
Is an AI real estate assistant fair housing compliant?
We don’t sell a compliance label: it depends on your scripts, your data and how the AI agent is used, so your broker or lawyer approves the setup. We build with the Fair Housing Act in mind. Every lead gets the same questions, listings are matched only on criteria the lead picks, like budget, size and location, and the AI agent doesn’t describe areas by who lives there. Questions like “Is it a safe area?” or “Are the schools good?” get a neutral reply and links to public sources you choose. Requests about assistance animals or other accommodations always go to a person. Every conversation is logged, so you can review it.
Can the AI follow up with leads by text, WhatsApp or phone?
Yes, within the rules. The AI agent replies in conversations the lead starts. Follow-ups after that, and any texts or calls the AI starts, go only to people who gave clear consent — for example, a consent checkbox on your form or ad, or a WhatsApp opt-in. It stops when the lead replies, asks for a person or opts out, respects do-not-call lists and only reaches out during your contact hours. US business texting from a local number needs A2P 10DLC registration (or a verified toll-free number), and WhatsApp messages sent more than 24 hours after the lead’s last message need approved templates. We begin the registrations as soon as you send your business details; approval times depend on carriers and Meta. Rules differ by country (in the US, for example, the TCPA applies), so your lawyer approves the final setup.
Can an AI voice agent for real estate answer listing calls and book showings?
Yes. An AI voice agent can answer listing and yard-sign calls after hours or when your team is busy, ask your qualifying questions, book a showing and text a confirmation if the caller agrees. It introduces itself as a virtual assistant, and if calls are recorded, the greeting says so. Offer and price questions go to the listing agent. A voice agent starts at $2,000. With CRM sync and follow-ups, it’s part of Growth, from $3,500.
